AI Email Improver for Clear, Professional Emails

Professional email writing guide

The Email Improver helps turn a rough draft into a clearer professional email while keeping your main message intact. You choose a tone, a goal, and UK or US English spelling. The result includes an improved draft, a suggested subject line, and a change list so you can review the wording before you copy it into your inbox. It is useful when the grammar is correct enough to understand but the email still feels too direct, too vague, too long, or more formal than the situation requires.

What the Email Improver does

The tool works best when you provide the real purpose of the message. A request needs a clear action and deadline; a follow-up needs enough context for the recipient to find the earlier conversation; an apology needs ownership without an unnecessary explanation. Selecting the goal helps the rewrite keep that job in view, while the tone setting helps you avoid sounding colder, more hesitant, or more formal than intended.

What it can improve

Business email situations it supports

Use it for an approval request, a follow-up after no response, a meeting invitation, a customer complaint, an apology for a delay, a recruiter reply, or a short status update. For phrase-level context, read the guides to acknowledging receipt, “noted with thanks”, and professional alternatives to “please find attached”. If you are chasing a reply, the polite follow-up guide gives you wording to adapt before you run it through the tool.

Before-and-after email example

Before

Hi, please revert soonest. We need the quotation today otherwise the project will delay.

After

Hi [Name], could you please send the quotation by 3 p.m. today? This will help us keep the project on schedule. Thank you.

The revision replaces local office shorthand with a specific request, deadline, and reason. Always check that the final version still reflects what you mean.

How to use the Email Improver

  1. 1. Paste your draft. Include the context the recipient needs, but remove confidential details that should not be processed by an AI service.
  2. 2. Choose the goal and tone. Select whether you are requesting, following up, apologising, making a complaint, applying for a job, or arranging a meeting.
  3. 3. Review before sending. Compare the improved text and change list, check names and dates, then copy the version that is accurate for your situation.

Review the rewrite before you send it

A polished sentence is not automatically the right sentence. Check that the rewrite keeps the original amount, date, deadline, attachment, person responsible, and requested action. Make sure a softer tone has not removed the urgency, or that a shorter version has not removed the reason the recipient needs to act. The change list is useful for learning, but it is not a substitute for reading the full email in context.

Privacy and input handling

The current route sends the draft to a third-party AI provider to generate the improved email. The app does not provide a saved Email Improver history view, but the published Privacy Policy says that text input may be temporarily stored for processing, debugging, or improving system performance. It also says submitted text is not used to train AI models and that personal information is not sold.

Because the policy allows temporary processing-related storage and involves third-party providers, avoid pasting passwords, personal identification numbers, confidential client material, or information your employer does not permit you to share with an external service. Treat the output as a draft and verify it yourself.

What input limit does the editor show?

The editor currently shows a 100-word limit for guests, 300 words for signed-in Free users, and an Unlimited label for Premium users. Check the limit shown in the editor before pasting a long thread.
